Generic role of post:
A senior Management position within an expanding and vibrant company, this role is pivotal to underpinning the human resource and contract compliance foundations of YTKO in all its diverse yet complimentary activities in the highly competitive provision of business support in the UK and internationally.
YTKO currently have nearly 90 staff, based across Cambridge, 4 regional offices in the South West, and some home-based workers. Our people are our greatest asset, and our investment in developing a high quality, professional HR service will help ensure that the company continues to grow successfully.
This role is diverse and wide reaching, with a specific focus on the human, technical and legal aspects that will ensure the professional and contractually compliant delivery of a wide range of public and private sector contracts. You will have demonstrable, proven experience and relevant qualification in Human Resource Management, with a particular focus on Employment Law, company policies and procedures and their successful implementation. You will report directly to the Chief Executive, whilst working closely with the Senior Management Team.
Based at the company HQ in Cambridge, this role is integral to the successful delivery of the underpinning policies and procedures that enable YTKO staff as a whole to deliver and exceed contractual outputs, project outcomes, client satisfaction and funder expectations across a wide range of public and private sector contracts.
Specific duties:
Specific responsibilities are Human Resources and Operational Health and Safety.
Human Resources
- Oversee and manage the day-to-day running of our company HR department.
- Deliver a professional and legally sound and compliant Human Resource structure and service across the company.
- Work closely with relevant members of the SMT to create Performance Management targets against contractual outputs and job descriptions.
- Develop the company HR faculty to ensure inclusive, professional and robust policies and procedures are delivered and maintained in recruitment, induction, transition and performance to ensure the on-going success of all aspects of YTKOs contractual obligations.
- Be responsible for the management and delivery of all new staff contracts of employment and changes to existing contracts, whilst maintaining the existing staff contractual obligations.
- Advise and direct company implementation of all activities and compliance in respect of staff reviews and assessments, annual leave, maternity leave, for short-term, casual, temporary, fixed term and permanent staff.
- Conduct any disciplinary investigations, formal disciplinary meetings (where appropriate/required) and implement findings, outcomes and decisions in liaison with Line Managers, Programme Directors and the SMT to ensure both contractual and legal requirements are fulfilled and met, in accordance with existing policies and procedures.
- Work closely with Finance to maintain and deliver compliant and accurate payroll, rewards, and compensation plans across the company.
- Work closely with the CEO and relevant SMT members to ensure our recruitment processes attract and secure the right calibre of people, and the successful implementation of all legal HR requirements in respect of new contract hires.
- Advise the CEO regarding HR legal requirements in respect of upcoming changes in legislation to ensure the efficient and compliant operation of the company.
- Oversee, manage, advise on and prepare all documentation in respect of any legislative or legal challenge to the company in respect of employment law and regulations.
- Continually update company policies and procedures in line with, and to reflect new developments and legislation to ensure the professional integrity and on-going success and reputation of the company.
- Oversee, manage and maintain personnel files with the HR dept (electronic and hard copy) to ensure all relevant and necessary records are secure, accurate and compliant.
- Oversee, manage and deliver all aspects of the company Home Worker Policy requirements, including contractual specifics and Health and Safety elements: to include Home Worker Health & Safety checklists in accordance and alignment with employment contracts.
- Advise and support the SMT in regard of policy and procedural requirements, development and delivery across all areas of HR.
- Provide timely and accurate updates and reports to SMT on a monthly basis to ensure the efficient and compliant delivery of all contracts.
- Support branch managers/programme directors remotely, using our TribeHR system and by phone, Skype, and face-to-face, on all aspects of HR. H&S and other staff-based matters.
- Monitor and plan Human Resources, skills and capabilities to meet future needs and opportunities, and work with the SMT to develop HR elements of budgets and business models.
- Develop CPD plans and support for all staff, for branches, and for departments
- Manage time logging and recording procedures to ensure effective optimisation and utilisation by project, programme, branch and department.
- Review and implement effective IT support systems and services for HR and other staff support needs.
?Operational Health & Safety
- Advise, support and ensure our legal compliance in relation to all aspects of our various offices with particular focus on Health and Safety regulatory compliance.
- Regularly report to the SMT with specific regard to and Health and Safety issues as and if they arise.
- Oversee and/or carry out Health and Safety Audits for Home or Remote Workers employed by the company.
- Ensure the delivery of a full range of Health and Safety training to staff as and when required.
- Oversee, manage and develop an in-house Health & Safety training programme for staff in all offices and locations as required.
- Work closely with the SMT in regard to potential and new business development to integrate HR, Health and Safety and working environment considerations in the tenders process, and contractual negotiation and variation.
You may be required to undertake other activities from time to time as required by the CEO in accordance with your contract of employment, and will always be expected to act as a role model to staff across the company, upholding the ethos and integrity of the company in its delivery of all its work.
Person Specification and key requirements:
Qualifications:
- CIPD (or equivalent) qualification in Human Resource Management
- Evidence validating commitment to continuous personal development
Experience:
- A minimum of 5 years experience at management level.
- Proven ability in implementing and successfully embedding improvements and new procedures where necessary.
- Experience of carrying out capability assessments or disciplinary procedures
- Demonstrable previous experience of operational Health & Safety issues including reviews and risk assessments both at company premises and for Home-Workers.
Knowledge/Understanding:
- IT Literate with thorough understanding of IT and how effective IT systems can support the efficiency of organisations.
- Preferably with experience of working in an environment with both private and public sector contract responsibilities.
- A background knowledge or understanding of the business support and development sector and environment would be an advantage.
Customer Service:
- A strong commitment to high quality customer service and its continuous improvement.
Personal Qualities/Skills:
- Must possess excellent communication and interpersonal skills: production of reports, briefings, presentations, interviews and negotiation facilitation.
- Ability to build and facilitate strong working relationships with management, employees and clients at all levels.
